Exhibitions Guide

This is your curator’s guide

We are excited to house your exhibition and support you in this creative process. The goal of this guide is to provide you with information on the steps you need to take to prepare for your installation dates.  

Included is a comprehensive list of documents and information that will outline important deadlines to make sure everything runs smoothly and safely, including: schedule/ timeline, pricing, contact information, details on what The Clemente offers, insurance coverage, etc.

Below included are:

- Gallery Floor Plans  

- Inventory list (pedestals, furniture, A/V equipment)

- Installation service providers (contacts for vinyl printing, framing, etc)

- Promotional Materials Kit (Logos, Promotion Guidelines, Promotion deadlines)

The timeline below is an overview of what we need from you leading up to, during, and after your exhibition. 

Timeline

  • - Read materials in Artist Guide

    - Complete the Exhibition Agreement and Liability Form

    -Gather questions

    - Propose programming/reception plans to The Clemente

    - Start working on promotional materials

  • - Send promo material including press release, exhibition flier, and images to promote on social media (Clemente needs to approve the press release before distribution)

    - Request use of specific tools, pedestals, and media equipment (Send floor plan to CSV)

    (i.e. ladder, reception, parking, load-in, etc.)

    - Arranging installation and reception logistics

  • - All installations must follow the Clemente Fire code (no blocking exits with pedestals or artwork)

    - Installation Hours: 11 am- 7 pm (unless otherwise discussed, if front desk staff is present installation hours can extend until 9-10 pm)

    - Please coordinate with staff if you need access to the parking lot to drop off artwork

  • - Gallery hours 11-7 pm

    - The Clemente provides security, fireguard, HM staffing, SLA permit, and 3 bottles of wine for reception including cups/tablecloth. The Clemente covers House Management but can not guarantee bar attendance.

  • - Coordinate de-install with exhibitions manager, contact artists for pick up artwork

    - The curator MUST be present for deinstall or coordinate someone else to replace them in the event they can not be present

    - Deinstallation can happen during the gallery hours 11-7 pm

    - The Clemente provides sparkle & white paint

  • - Send any remaining invoices, receipts, etc that have been discussed for reimbursement

    - Fill out Gallery Deinstall Checklist and Exit Survey

    - Send any feedback/Suggestions for The Clemente Exhibitions team

    - Stay in touch and keep a lookout for the next open call!

FAQs

- Should we put together the press release? 

  Yes - the curator should. Clemente staff will edit them. 

- Is there an in-house art handler to assist with installation?

We have an art handler who can assist with one day of installation help. Please plan accordingly with your own team for all additional assistance required. 

- Does the gallery have insurance for the artwork, and a general contract for artists? 

Yes, we have insurance, the policy is written in the contract.  Insurance covers up to $50,000 once artwork is installed in the gallery. Waiver of liability is everything that happens outside of the installation (traveling into the space, etc).

- Do we take care of the lighting in the gallery?

There are standard track lights and clip/clamp lights, but any additional lighting must be provided by the curators. The Clemente provides a ladder to adjust the lights during installation. 

- Who do we contact regarding load-in of artworks and install/deinstall logistics?

Exhibitions manager should be the main point person to coordinate load-in, as well as other exhibition related planning/logistics. Exhibition manager coordinates with front desk staff and maintenance staff.

- What are walls made of and is it possible to hang heavy objects/ do unconventional installations?

The building is old and composed of various materials including brick, wood, plaster, and sheetrock. For specific inquiries send a photograph of your proposed installation method, dimensions/weight of artwork, to the Exhibitions manager to inquire with the Building Operations staff to see how we can install or accommodate the piece within the gallery. 

- Are there tools available for use during installation?

Yes, there is a toolkit which includes drill & drill bits, hammer, level, ladder, measuring tape, etc. 

- Are the exhibiting artists able to access the galleries to install/drop off work without curators being present?

Yes, but all drop off and installation needs to happen during gallery hours or, if scheduled previously with the Exhibition Manager, after gallery hours but when front desk staff is present.

- Does The Clemente print labels for artwork or wall text?

No, this is up to the curator. We have an office printer available to various copies of print press releases and any other gallery text suitable for takeaway 8x11” printer paper. For vinyl wall text see the provider we list above. Artwork labels, if you choose to make them, can be printed at Staples. 

- What happens if artwork is sold during the exhibition?

The Clemente receives a 30% commission for any artwork sold in the galleries unless another agreement has been previously discussed.
